What is the value of a meal voucher?

The maximum value of a meal voucher is 10 euros per working day. It is possible to order meal vouchers with a lower face value.

The value of the meal voucher always consists of an employer contribution and an employee contribution.

  • The employer contribution is a maximum of 8.91 euros.
  • The employee contribution is at least 1.09 euro.

Who is entitled to meal vouchers?

Anyone whose employment contract mentions the granting of meal vouchers is entitled to them. This also applies to certain categories of workers, such as:

  • Student jobs
  • Paid interns under an employment contract
  • Teleworkers
  • Employees with a special status

Volunteers who, by definition, are not paid and not bound by an employment contract, are not entitled to this employee benefit.

Are meal vouchers mandatory?

In principle, meal vouchers are not mandatory, except within certain industry sectors. The value and conditions associated with meal vouchers are chosen by the employer. The conditions are set in a sectoral or company collective agreement or in an individual employment contract.

How do I order Monizze meal vouchers?

  1. Through your payroll provider: simply ask your payroll provider to order meal vouchers from Monizze. Contact your payroll provider for more information.
  2. Via your Monizze client area: you can order your meal vouchers yourself via your client area.

Can meal vouchers be granted retroactively?

Retroactive granting of meal vouchers is not recommended and is only possible in case of correction. If too many or too few meal vouchers were granted, this can be corrected the following month.

Do full-time and part-time workers receive the same number of meal vouchers?

Belgian legislation on meal vouchers stipulates that workers in the same category, i.e. with the same work regime, must receive meal vouchers of the same face value. This is to prevent arbitrary discrimination.

An employer who wishes to grant meal vouchers of a different face value to different categories of workers must do so objectively. Under this rule, the agreement establishing this employee benefit may provide for different amounts depending on the employee's status (full-time or part-time).

Note: if the objectivity of the distinction is doubtful, it is advisable to seek advice from the NSSO (National Social Security Office).

Meal vouchers are generally granted based on the number of working days or hours worked. Logically, a part-time worker will therefore receive fewer vouchers than a full-time worker.

Can I grant myself meal vouchers as a self-employed business owner?

Since 1 January 2007, self-employed business owners can grant themselves meal vouchers under certain conditions:

  • The number of meal vouchers granted must correspond to the number of days the self-employed business owner actually worked. The number of contribution days cannot exceed the maximum number of working days of a full-time employee in the company concerned.
  • A self-employed business owner who employs staff can only grant themselves meal vouchers if their employees also benefit from them. The meal vouchers granted to the self-employed manager cannot have a higher value than those of their employees.

Note: self-employed individuals who carry out their activity as a natural person and not within a company are not entitled to meal vouchers.

Can eco-vouchers be granted retroactively?

This is not recommended, but eco-vouchers can be granted retroactively if it concerns a correction.

Do full-time and part-time workers receive the same number of eco-vouchers?

Neither collective labour agreement No. 98 nor the royal decree on granting eco-vouchers mention specific rules for part-time workers. The employer can therefore choose. They can opt for a system proportional to work performance, or for an identical amount for all workers, regardless of their status.

Who is entitled to eco-vouchers?

Everyone in the private sector is entitled to eco-vouchers. The eco-voucher system was established by a collective agreement within the National Labour Council. It only concerns employers and employees covered by the law of 5 December 1968 on collective agreements and joint committees.

Various categories of personnel are therefore not eligible for this employee benefit, namely all employees:

  • who work in the public sector and autonomous public companies;
  • who are subsidised by the State and active in subsidised institutions of independent education;
  • who were recruited under a Local Employment Agency employment contract;
  • who are active in vocational training centres applying legislation on employment or vocational training for jobseekers.

What is the value of eco-vouchers?

The maximum value of eco-vouchers is 250 euros per year. The amount granted depends on the number of working days performed. For more information on the calculation, it is advisable to contact your payroll provider.

What can my employees buy with their eco-vouchers?

Eco-vouchers can only be used for the purchase of ecological products or services. The National Labour Council (CNT) establishes the list of products and services that can be purchased with eco-vouchers.

Who can receive gift vouchers?

The benefit is subject to the principle of equality within the company. Under no circumstances may it be used as a means of pressure or sanction. The following persons may be entitled to these vouchers:

  • Employees, regardless of their hierarchical position, seniority and skill level.
  • Business owners, like employees, as long as they have entered into an employment contract.
  • Interns who, as required by law, must have access to the same social and cultural activities as employees.
  • Clients, as a thank-you gesture, provided it is done in the company's interest and within the legal VAT limit. Vouchers worth less than 125 euros are 100% deductible and tax-free for the beneficiary. For higher amounts, vouchers are 50% deductible and the beneficiary must pay taxes on them.

Are gift vouchers mandatory?

A gift voucher is a gift in its own right and therefore cannot be made mandatory by any agreement. The gift voucher is granted entirely at the employer's initiative. It cannot be formalised in an employment contract or collective agreement.

However, an employer who decides to offer gift vouchers to employees is subject to two specific obligations:

1. Non-discrimination principle

The benefit must be granted to all employees of the company, without distinction of:

  • their age
  • their gender
  • their religious beliefs
  • their membership of a political party or trade union

In the event of a violation of this non-discrimination principle, the company may be sanctioned by law.

2. Compliance with the legal threshold

To benefit from the social and tax exemption, the amount of the benefit allocated in the form of gift vouchers must not exceed the maximum amounts set according to the occasion:

  • Saint Nicholas, Christmas and New Year: 40 euros per employee + 40 euros per dependent child
  • Honorary distinction: 120 euros
  • Retirement: 40 euros per year of service, with a minimum of 120 euros and a maximum of 1,000 euros
  • Marriage or declaration of legal cohabitation: 245 euros
  • Seniority bonus after 25 years of service: equal to one month's gross salary
  • Seniority bonus after 35 years of service: equal to two months' gross salary
  • Special occasions: 50 euros maximum

What are gift vouchers?

Monizze gift vouchers allow you to reward your employees on special occasions. If gift vouchers meet certain conditions, they are considered an employee benefit (and are therefore not considered as salary). The value of the Monizze gift voucher is tax-exempt for both the employer and the employee, and is generally tax-deductible for the employer.

What are Sport & culture vouchers?

Sport & culture vouchers, also known as "Activ'", are offered through an online booking platform for sports and cultural activities. With this modern tool, companies encourage their employees to participate in sports and cultural activities.

This employee benefit allows beneficiaries to increase their net purchasing power and enjoy attractive offers for annual subscriptions and a wide range of activities.

Sport and culture vouchers are valid for 15 months from the date of receipt and, once expired, can be reactivated once for 3 months.

Are sport and culture vouchers mandatory?

The granting of sport and culture vouchers in Belgium must be provided for by a collective or individual employment agreement. Such an agreement results from an employer's decision. There is therefore no obligation to grant them.

What are the rules for granting sport and culture vouchers?

To avoid being considered as salary, sport and culture vouchers must meet 6 conditions:

  • granted on the basis of a collective or individual employment agreement;
  • maximum of €100 per year;
  • no cash reimbursement;
  • issued in the name of the employee or company director;
  • validity period of 15 months from the date of receipt;
  • redeemable only at approved organisations.

What is the value of a Sport & culture voucher?

The maximum value of Sport & culture vouchers is €100 per year.

What is the mobility budget?

The mobility budget is a tool that allows employers to offer employees access to flexible and sustainable mobility at no additional cost to the employer. The amount of this mobility budget is based on the "total cost of ownership" (TCO), i.e. the total cost associated with owning a company car, but this amount is capped at a minimum of €3,164 and a maximum of €16,875 per year, in addition to a cap of 20% of the gross annual salary.

The mobility budget can be used across three pillars, each with a distinct tax and social security treatment:

Pillar 1: the mobility budget can be used to finance an environmentally friendly company car. From 2026 onwards, this car must be a zero-emission vehicle.

Tax treatment: the company car in the first pillar is treated in the same way as a traditional company car from a tax and social security perspective.

Pillar 2: the mobility budget can be used for environmentally friendly modes of transport, for both private and professional travel. For example, company bicycles, public transport, carpooling, car rental for a maximum of 30 days per year, electric scooters, but also for reimbursement of rent or mortgage payments (including interest) if the employee lives within a 10 km radius of their usual workplace. If a person works from home for most of a given month, the home is considered the usual workplace for that month.

Tax treatment: second pillar benefits are fully exempt from social security contributions. Their costs are fully deductible from corporate tax.

Pillar 3: the remaining balance of the mobility budget (if any) is paid out once a year after deduction of a special social security contribution of 38.07%, but it is exempt from income tax.

Tax treatment: the paid-out balance is fully deductible from corporate tax.

What is the purchasing power bonus?

The purchasing power bonus is a unique benefit allowing employers to grant an additional amount to their employees in the form of consumption vouchers. It is exempt from social security contributions and tax under certain conditions.

What is the maximum amount for the purchasing power bonus?

The maximum amount for the purchasing power bonus is 750 euros per employee. This amount is exempt from ordinary social security contributions, but a special contribution of 16.5% is due from the employer.

What is the validity period of the purchasing power bonus?

The purchasing power bonus has a validity period of 1 year from the date it is loaded onto the Monizze card.

Am I required to order a new card for a former employee?

The law stipulates that the last employer who ordered vouchers must also provide the card, so that the beneficiary can use the vouchers until they expire.

What should I do if an employee leaves my company?

When an employee leaves your company, we recommend updating this in your client area, via the "users-bold" tab. In the relevant employee's profile, click the "end collaboration" button and confirm.

The employee's Monizze card is not blocked when the contract ends. The employee can continue using their Monizze card and vouchers.

Important: do not block the employee's Monizze card, as they will no longer be able to use their vouchers.

My employee's Monizze card is about to expire. Do I need to request a new Monizze card?

When an employee's Monizze card is approaching its expiry date, you will be notified by email.

If the employee is still employed, has an available balance on their Monizze card and the card has been loaded, the Monizze card will be renewed automatically. New Monizze cards are always sent well before the expiry date.

How do I activate my employees' Monizze cards?

Employees can activate their Monizze card in two ways. Along with their Monizze card, they receive a letter containing the activation instructions:

  1. By SMS: the employee sends the code printed on the letter to the number 8844.
  2. Via MyMonizze: the employee can activate their Monizze card online via this link.

The employee is unable to activate their Monizze card using either of these methods? Then activate the card via your client area. Go to the "users-bold" tab, select the relevant employee and activate the card via "Cards".

We have not (yet) received our employee's Monizze card.

Please allow approximately 10 working days for the production and delivery of a new Monizze card. Through your client area, you can easily check the production and shipping dates of your employees' Monizze cards.

To do so, go to the "users-bold" tab and click on "Card creation". Has the shipping date long passed but you still haven't received the card? If so, please contact us. Please note that postal processing may take several working days.

What should I do if my employee's Monizze card no longer works?

If your employee's card no longer works, the Monizze card must be sent to the following address: Rue de l'Hôpital 31, 1000 Brussels. The Monizze card will then be tested and, if necessary, a new card will be sent.

What should I do if my employee's Monizze card is lost or stolen?

If one of your employees' Monizze card is lost or stolen, block the card via your client area.

In the "users-bold" tab, select the relevant person, click on "Cards" and "Block card" and confirm. A new card will be ordered automatically and delivered within approximately 10 working days.

Your employee can also block their own Monizze card via MyMonizze, our mobile app or by phone.

What should I do if I hire a new employee?

Has your company just hired a new employee? There are two possible situations:

1. Your new employee already has an active Monizze card

The employee can continue using their active Monizze card, no new card is needed. Simply add the new employee to your company. To do this, go to your client area, under the "users-bold" tab, and click the "Add an employee" button. Once you have entered the employee's details, our system will automatically link the employee's active card to your company account.

2. Your new employee does not yet have a Monizze card

Order a new card via the homepage of your client area under "Order cards".

How do I log in to my client area?

Log in to your Monizze client area using your username (email address) and the password you received when you registered with Monizze.

  • If you have forgotten your password, you can set a new one using the "Forgot password" button.
  • If you have forgotten your email address, you can contact one of our experts via this contact form.

How do I request a new password for my client area?

If you have forgotten your password, set a new one by clicking the "Forgot password" button. You will then need to confirm your email address in the designated field. Instructions to reset your password will be sent to you by email.

How do I change my company details via my client area?

Via your client area, you can modify all your company details (address, email, contacts, etc.) in the "My company" tab.

How can I give other employees access to the client area?

In your client area, you can determine which email addresses can access the client area. Users can be added or removed.

To do this, log in and click on "Access" under the "My company" tab. Add new users via the "Add user access" button.

How do I view and download my invoices in my client area?

You can view and download all your invoices and credit notes in your client area. Your invoices are available in PDF and XML format via the "Invoices" tab.

How do I pay my invoices by direct debit?

Easily set up direct debit via itsme with Twikey:

  1. On the homepage of your client area, click on "Bank direct debit"
  2. Click on "Activate direct debit"
  3. Verify your details and click on "Continue activation on Twikey"
  4. Follow the steps and confirm your direct debit via itsme
  5. You will receive the signed direct debit mandate by email

How can I receive my invoices via PEPPOL?

To activate PEPPOL, you must be registered with one of the 25 PEPPOL providers. You can find the list here and filter by country.

  • In your client area, go to "My company" and click on "Addresses"
  • Click on the pencil icon to change the invoice delivery method.
  • If you still want a copy by email, you can select "PEPPOL + EMAIL"

What is two-factor authentication (2FA)?

Two-factor authentication (2FA) adds an extra layer of security by requiring a second verification factor (a one-time code) in addition to your password.

Monizze currently offers two options: receiving this one-time code by SMS or via an authentication app (Google Authenticator, Microsoft Authenticator, etc.).
You can activate them in your account, in the "Security" section.

Which authentication apps are compatible with 2FA?

Any app compatible with the "TOTP" system (Time-based One-Time Password), such as:

  • Google Authenticator (iOS, Android)
  • Microsoft Authenticator (iOS, Android)
  • Authy (iOS, Android, Mac, Windows), etc.

What should I do if I lose my phone or access to my authentication app?

When you activate 2FA via an authentication app, recovery keys are provided to you. They can be used to log in and reconfigure your authentication app if you lose your device. You can also generate new recovery keys in your account settings, under "Security".

If you activated 2FA by SMS, you can continue to log in as long as you keep the same phone number.

How can I view the details of my orders?

Would you like to view an overview of the vouchers ordered for each employee? Go to the "Orders" tab in your client area. You can view the details of each order placed by downloading the xls report.

Do I need to order a separate Monizze card for each product?

The Monizze card is multifunctional: meal vouchers, eco-vouchers and gift vouchers are all loaded onto the same Monizze card. Monizze cards are not ordered by product category, but by employee.

Sport & culture vouchers do not require a Monizze card. Your employees can enjoy this benefit via the Activ' online platform.

When are the vouchers loaded onto my employees' Monizze cards?

Vouchers are always loaded within 48 hours of receiving your payment.

How do I order vouchers from Monizze?

There are two ways to order Monizze vouchers:

  1. Through your payroll provider: you can order vouchers automatically through your payroll provider. Contact your payroll provider to start the process.
  2. Via your client area: you can order the vouchers yourself via your client area. This can be done manually or via an Excel file. Go to the "Orders" tab and select the desired product. You can enter your order on the page or via an Excel file by clicking "Import a file" and then following the steps.

To which address are Monizze cards sent?

Monizze cards are sent to your company address. If you would like the Monizze cards to be sent to your employees' home address, you can request this by contacting our customer service.

How long does it take for Monizze cards to be delivered?

Monizze cards are always delivered within ten business days of receiving the card order.

How can I order Monizze cards?

Employer My orders

Monizze cards can be ordered via your client area.

You can order Monizze cards manually or download an Excel file containing a standard order form. If you need to order a large number of Monizze cards, we recommend the order form:

  • Manual order: in the "users-bold" tab of your client area, click on "Add an employee" and follow the instructions. You can finalise your order by clicking "Confirm" or order additional Monizze cards by clicking "Add another card".
  • Order via an Excel file: go to the "Orders" tab in your client area, select a product and then click on "Import file". Download the standard order form and fill in the columns indicated in yellow. Once the file is complete, you can upload it as a "New order".

You can verify the order and production of your Monizze cards at any time in your client area. To do this, click on the "users-bold" tab and then on "Card production overview". You will find the production date and the expected shipping date of your Monizze cards.
